We are a service portal, with a mission to make trade shows easier for exhibitors, vendors, venues and visitors.

You can use our service portal to search vendors and find the right partner based on their experience, ratings and reviews.

Even better: You don’t even have to search for who might be the best partner for you! Just post a service request, provide information about what you need, and have vendors find you right here . You can even do it anonymously, so no unsolicited calls outside of our service portal (more about that a few questions down in this FAQ).

Last but not least, you can use our project and escrow gateway, to make sure you pay exactly for what you asked for (again, more about this a few questions down in this FAQ).

There are many vendors out there, good ones and bad ones. However, google won’t show you vendors based on their reputation. The vendors you find on top ranking positions on google are usually those who either pay the most to get their ads displayed, or those who pay marketing professionals to optimize keywords on their home page. Either way, google search results are based on how vendors present themselves, not on their product quality or experience.

Our community rating and review system is based on customers like you, letting others know about their service experience with vendors. So you already know about your future partners positive reputation, before even reaching out to him.

There are many reasons why you should use our service portal instead of contacting vendors directly:

  • When reaching out to a vendor, you don’t know if they are capable of realizing your project the way you intend it. However, once you are in contact with a vendor, they want to keep your business. Vendors will try their best, to find a compromise between what you ask for and what they are able to deliver. This is understandable, but often leads to frustration between vendors and exhibitors.
  • After posting a service request and providing as many details as possible about your exhibit project, vendors can provide you with quotes and proposals through our service portal. This way, you know from the very beginning, if vendors are able to build your project the way you want it, or if any compromises are acceptable for you.
  • You immediately get a feeling if your project scope is realistic, or if you need to adjust. Maybe your planned project exceeds your budget, or maybe what you intended turns out to be more difficult than expected? Either way, if your service request doesn’t return the expected results, you can go back to the planning board and readjust.

Again, once you contact a vendor directly, they want your business. Which, by itself, is perfectly fine. However, not all vendors are able to deliver all products – and this is actually a good thing, meaning that different vendors are great at what they specialized in. However, it also means that you are likely to end up compromising in price or product.

When you post a service request through us, vendors are able to search through all requests and focus specifically on those that match their specialty and their experience the best. This way, quotes coming through us are not just a quote containing whatever is necessary to get your business – Quotes coming from vendors through our service portal are tailor made, by companies specialized exactly in what you are looking for

By posting a service request through us and deciding to accept a quote, you are not entering into any contracts with TheShowSite.com (other than the terms and conditions and our user guidelines, outlining the use of our website itself). Our part is simply to provide the initial contact between the client and the vendor.

Accepting a quote serves as a mutual agreement between you and the vendor, to start working on the details of your project and eventually enter into a contract.

Accepting a quote does not create a binding, legal contract between a client and a vendor. Accepting a quote serves as a sign of intend between client and vendor, to enter a contractual relationship based on the project scope provided by the client and the quote provided by the vendor. A service request and an accepted quote is intended to serve as the foundation for any following agreements or contracts, which have to be negotiated directly between client and vendor.

We are sorry to hear that. Of course, you don’t have to accept any quotes that you didn’t like. In this case, there simply won’t be a winning quote, and you move on.

If you have an extremely complex project, or you really want to make sure that you get exactly what you are paying for, you and your vendor can use our project and escrow gateway.

This means, after agreeing on detailed  terms and signing a contract, you can use TheShowSite.com as a neutral project and escrow management party.

Once you and your vendor agree on the definition of certain milestones and payment details when reaching those milestones, we step in: We collect the agreed upon payment from the client, and release it to the vendor, based on reaching those milestones.

Clients know they get exactly what they asked for. And vendors have certainty of how and when they are getting paid.

Easy: For exhibitors, they cost (mostly) nothing!

Posting a service request with us, is completely free. Accepting a quote from a vendor is completely free. Searching through our vendor database is completely free. Using any of our tools or calculators is completely free.

There are a few things that we do charge for, though. For instance, if you want to have us feature your service request on our home page, we charge a one-time fee of $99. Also, if you want to use our project management gateway or our escrow services, we charge a percentage of between 2% and 5% of the total amount. This is usually paid for by the vendor, so make sure this is factored in, when you want to use this service.

We are not just another portal, offering you to provide your services and get rated. Let’s face it: Exhibitors don’t have all time in the world to find the perfect partner (so they simply might not find you buried under all that competition), and exhibitors don’t like cold calls (so they might not even listen to you, when you reach out to give them your sales pitch).

So we turned the process around: Exhibitors in need for a vendor can post a service request on our service portal. And vendors can search through them, finding what potential jobs match their services, and send those exhibitors a quote or a service proposal.

No more wasted time for cold calls. Those exhibitors are actually expecting you to reach out to them.

Why not do both?

Besides, there are many vendors  out there, and just like you, they are working hard to optimize their keywords and show up higher in googles search results. This means, clients looking for vendors are not finding you, even though you might be the best partner for the job – clients will find those, who got the best keywords and who pay the most for google adwords.

Also, you can greatly benefit from our community rating and review system, which is based on customers and vendors like you, letting others know about their service experience with vendors, clients and events.

So not only do potential customers see about your previous clients positive experience with you, but you also see about other vendors experiences with a potential customer as well!

At first, it doesn’t sound like much of a difference between contacting potential clients directly and sending out quotes to potential clients through us.

But we can promise you: There is!

  • How do you find potential clients? You probably go through exhibitor lists for shows, reach out to previous business contacts or get referred to a potential client. Either way, it most likely ends up in you making a cold call to sell your services. And let’s be honest: Nobody likes cold calls.
  • Besides, how do you know if a potential customer doesn’t already have a vendor he currently works with, and your time and sales pitch is wasted?
  • A new client often has certain expectations of what he wants in his new trade show project. Sometimes, you are able to deliver exactly what the client wants. Sometimes, you and the client have to compromise. This often leads to frustration between vendors and exhibitors.

So what do we do different?

  • Potential customers are posting their service request on our service platform. So you not only know that this specific customer is looking for a vendor, so no more cold calls. These exhibitors are actually waiting for you to reach out!
  • Exhibitors posting a service request are providing as many details as possible, so you immediately know if this project or budget would be interesting or realistic for you!

You are saving the time and administrative overhead of identifying and contacting potential clients, but can jump right into providing them with a quote and starting your sales pitch, based on the clients expectations!

Besides being able to directly identify interested clients and deliver a sales pitch tailered to their expectations, there are countless other ways where we can optimize your business:

  • You can use our event based search to identify shows with the most potential service requests fitting your expertise and services. Don’t focus your marketing efforts on a show where you might be able to serve a client. Concentrate on events where multiple clients are looking for a vendor exactly like you!
  • Let’s say you have a client at a certain show. We provide you with a way to easily identify other clients that are in need for a vendor at the same show, potentially increasing your revenue for this event.
  • Similarly, you can use our location or calendar date based search to identify potential customers attending other shows close by or near an event that you are already serving. This way, you can optimize your services and your workload, maximizing revenue while minimizing overhead costs.

Absolutely not! You as a vendor are and always will be completely independent. 

Our job is to simply interact as a revolutionary way to initiate contact between clients and vendors, and set the basic boundaries about their following relationship!

After a client accepts your quote, both you and your client can get started working on the details of your business relationship and agree on any contract terms that you wish. At this point, TheShowSite.com is no longer involved in any business interaction between vendor and client (unless you want us to, more about that in the next answer).

We know, realizing a trade show booth is quite costly. If vendors have to pay accruing costs upfront, they often require partial or full payment before finalizing the project. However, exhibitors are often hesitant to make larger partial or full payments without a finished product.

In situations like this, you and your client can use our project and escrow gateway.

Don’t worry, its mostly nothing

Membership with us is free. Providing quotes or proposals for service requests is free. Searching through our client database is completely free. Using any of our tools or calculators is completely free.

There are a few things that we do charge for, though. Most importantly, for you as a vendor: We charge you for every accepted quote. This means: You can provide as many quotes as you wish, without any costs whatsoever! If a client accepts your quote, we charge 1% of the final amount that you proposed in your quote, or $29 (whichever amount is higher).

So, for example, if a client accepts your quote for a $15.000 project, and only then, we charge you a one-time fee of $150.

Also, if you want to use our project management gateway or our escrow services, we charge a percentage of between 2% and 5% of the total payment amount. This is usually paid for by the vendor, so make sure this is factored in, when you want to use this service.
